Stock Specials
§ eAccounts provides robust functionality that empowers users to be able to set-up customer specials as well as stock specials. It is important to understand the difference between these two types. Stock specials relate to all products in the stock master for all customers as opposed to customer specials for one customer or a defined group of customers.
§ Special prices can be specified for any items that may be on special.
§ This could be because you want to quickly sell an end of line product or it’s a seasonal product and the season is coming to an end.
§ In most cases, the special price will be used in place of the regular price in the order processing system, only if it is lower than the customers’ normal price level price.
§ It is imperative to understand the difference between stock specials defined in the stock master file which apply to all customers and customer specials that only apply to a customer or subset of customers but notall.
§ If you are using shopping basket for the current shop, all items with special pricing can appear on a "Specials" page. This is predefined during shop setup. Consult your eAccounts representative to have this setting turned-on.
Loading Stock Special Pricing In The Stock Master
§ Stock special can be loaded in the Stock system from Maintenance > Stock (Prices Only).
§ The second from last line of data on this screen relates to special pricing for the currently loaded stock item.
§ Enter either the tax exclusive price (Price field) or tax inclusive (Tax Inc Price field) that the item is on special for.
§ You can also set an expiry date for this special. If the Date To Clear Special On field is empty, then the special will never expire. If you do enter an expiry date, then at midnight on that day the system will automatically remove the special price and that item will no longer be on special.
Loading Stock Specials In Advance
§ One of the many powerful features eAccounts provides is the capability for you to load stock special prices in advance.
§ The system will activate them for you when due (you don’t need to do anything more. This of course provides you the “freedom to pursue your passions, while managing your business, no-matter where you are.”
§ This functionality is accessible in the Stock system from Maintenance > Pending Cost & Specials.
§ The Stock Pending Updates screen enables you to:
1) Load special price in advance for one item – Select Special from the What Is Pending drop-down list.
Enter the special effective date in the Date To Load field.
Enter the special end date in the Date To Cancel (Expire) field.
Load values in the New Special Price (Tax Exclusive) and New Special Price (Tax Inclusive) fields.
Click Save New Entry
2) Show All Pending – Click this button to display the list of future stock specials. You can delete some or all of them by ticking the Delete check box and clicking Delete Ticked Entries.
3) Loading special prices in advance for items in bulk – Specials can also be loaded in bulk by clicking Load Entries In Bulk. This allows you to import a spreadsheet of all the various stock items on special in one go using the format "S" + Product Code + New Special(Excl GST) + New Special(Incl GST) + Date To Load + Date To Expire where “S” is the Pending Special

Loading New Cost Price In Advance
§ In addition to being able to load stock specials in advance as explained above, eAccounts also has a nifty functionality that enables you to load new stock costs in advance should the supplier advise you in advance!
§ This can be achieved from the Maintenance > Pending Cost & Specials screen in the Stock system.
§ Enter the expected/new stock cost in the Purchase Cost (Tax Exclusive) of the Stock Pending Updates screen and select yes/no to reset the average cost and click Save New Entry.
§ Instead of loading the each item’s new cost separately, you can also load all new costs in bulk in a spreadsheet by clicking Load Entries In Bulk. The costs need to be in the "C" + Product Code + New Cost + Date To Load + Date To Cancel + Reset Average format where "C" is the pending purchase cost.
